Your organisation's memory, which all your AI draws from.
An AI knowledge base captures once who you are, what words mean at your company, how you work and what has been decided. After that, Copilot, ChatGPT, Claude and your own agents answer on your context instead of general knowledge. We build the company brain with your people and make sure it keeps up.
What is an AI knowledge base?
An AI knowledge base is your organisation's managed memory: identity, definitions, ground rules, sources and decisions, captured once and readable for every AI assistant and agent. As a result, all AI tools in your organisation answer based on your context instead of general knowledge. Also called a company brain or AI brain.
- Five layers of knowledge: identity, definitions, ground rules, sources, memory
- Works with Copilot, ChatGPT, Claude, Gemini and your own agents
- AI reads, a person approves; every topic has an owner and a date
- First building block of an AI Operating System
Why AI doesn't know your company
Every AI assistant your people use today starts blank. Copilot doesn't know what you mean by a 'project', ChatGPT doesn't know your pricing agreements and the agent built last month doesn't know what the board decided afterwards. So everyone explains it again in every prompt, each in their own way, and everyone gets a slightly different answer. The knowledge sits in heads, in old emails and on a shared drive full of versions.
That's why the term AI knowledge base, or company brain, comes up more and more. The idea is simple: capture your organisation's context well once, in a place that is yours, and let every AI read from it. Not as yet another document system, but as the shared layer beneath all your AI tools. Large tech companies now build something like this internally for tens of thousands of employees; for an organisation of fifty to five hundred people it is much smaller work, and the gain proportionally larger.
A knowledge base is more than making documents searchable. An AI search system or a RAG knowledge system already does that well. The knowledge base adds what isn't on paper: what words mean at your company, which ground rules apply, what has been decided and what worked before. Precisely the context an agent needs to do a task the way you do it.
Gaide builds the knowledge base with your own people, in their words, and sets up management so it keeps up. As forward deployed engineers we sit next to the colleagues who hold the knowledge, not at a distance with a questionnaire. We only leave once your team manages the knowledge base itself and every AI tool reads from it.
What goes into an AI knowledge base
Five layers, from what rarely changes to what grows every week. You don't have to start with all five.
01 · Identity
Who you are
What you make or deliver, for whom, how you stand out and how you speak. The basis every assistant needs so it doesn't sound like a stranger.
02 · Definitions
What words mean at your company
What is an 'order', a 'project', a 'margin' at your company? How do you calculate a KPI? One list of definitions prevents two agents giving two different answers to the same question.
03 · Ground rules
How you work
Working agreements, approval rules, terms, house style and the exceptions everyone knows but nobody wrote down. This is what AI needs to do a task the way you do it.
04 · Sources
What's already on paper
Manuals, procedures, contracts, quotes and project files, unlocked with source references and the access rights that already exist. Not everything has to be rewritten, but it has to be findable.
05 · Memory
What was decided and what worked
Decisions, lessons and outcomes of earlier work. The layer that grows with every project and makes an agent start better next time than the last.
Layer four in focus
For the 'sources' layer we build a RAG knowledge system that answers from your documents, with source references.
Read about the AI knowledge system →Knowledge base, knowledge system or search system: which is which?
The terms get mixed up in proposals, and that leads to the wrong purchase. This is the distinction as we use it.
| What | Does | Lacks |
|---|---|---|
| Document management (SharePoint, Drive, Confluence) | Stores files and pages | Doesn't know what's in them, what applies and what's outdated |
| AI search system | Finds the right document across all your systems | Finds, but doesn't capture how you work |
| AI knowledge system (RAG) | Answers questions from your documents with source references | Answers what's on paper, not what's in people's heads |
| AI knowledge base (company brain) | Captures identity, definitions, ground rules, sources and decisions as shared context for all AI | Needs maintenance: knowledge has an owner and a date |
They don't exclude each other. An AI search system and a RAG knowledge system are often part of the knowledge base. The difference is in what's added: the knowledge that was never on paper.
What you get from us
Knowledge inventory with your own people
An overview of what gets asked most, where that knowledge sits now and who holds it. Gathered at the table, not through a questionnaire.
Filled knowledge base in your words
Identity, definitions, ground rules and decisions described the way you use them, plus your sources unlocked with source references and the rights that already exist.
Connection to all your AI tools
Copilot, Claude, ChatGPT or your own agents read from the same knowledge base. One source, the same answer, whatever the tool.
Management process and handover
Owner and date per topic, AI proposes and a person approves. Set up, documented and handed over to your own team.
How we build an AI knowledge base
From the first ten topics to a company brain your own team manages.
-
Knowledge inventory
1-2 weeksWe sit with the people doing the work and note what gets asked often, what is explained again and again and which knowledge lives only in heads. That gives the first list of what belongs in the knowledge base.
-
Structure and ground rules
1 weekTogether we decide what is knowledge and what is noise, who owns which topic, what AI may read and what not, and how a change is approved. Small and correct beats big and outdated.
-
Fill and unlock
2-4 weeksWe write the context documents with your own people, in their words. We connect existing sources with source references and the rights that already exist. Whatever turns out to be outdated goes.
-
Connect to your AI
1-2 weeksCopilot, Claude, ChatGPT or your own agents start using the same knowledge base. One source, so every tool gives the same answer and nobody has to explain the company in a prompt anymore.
-
Maintenance and assurance
ongoingKnowledge ages. We set up a lightweight management process: AI proposes additions, an owner approves, and every topic has a date. Then we hand over management to your own team.
Five ground rules for a knowledge base that stays correct
Most knowledge bases don't die of technology, but of neglect. This is how we prevent that.
AI reads, a person approves
Every assistant and agent may read from the knowledge base. Writing goes through a proposal that an owner approves. That way a hallucination never becomes a company fact, and it stays clear who vouches for what.
Every topic has an owner and a date
Knowledge without an owner ages in silence. That's why every topic states who is responsible and when it was last confirmed. A knowledge base without that is an archive a year from now.
Small and correct beats big and outdated
We start with the ten topics asked about most, not with the whole shared drive. A knowledge base people trust grows by itself; a knowledge base full of old versions gets ignored.
The same rights as in your systems
What someone isn't allowed to see in the source system, they don't see through AI either. A knowledge base that shows more than the source allows is a data breach with a chat window. Rights are the foundation, not the finishing touch.
Not tied to one tool
The knowledge base is yours and stands apart from the model or assistant that uses it. Switch from Copilot to Claude or the other way round, and your company brain simply moves along. That's the difference with knowledge that sits in prompts or with a vendor.
“A language model is a clever stranger. The knowledge base is what makes it a colleague.”
Where an AI knowledge base makes an immediate difference
For board & management team
One version of the truth
Two departments, two definitions of 'revenue' and therefore two AI answers. With a shared list of definitions all assistants calculate with the same definitions and you can trust AI outcomes again in the management meeting.
For sales & quotes
Quotes that match your agreements
Pricing agreements, terms, standard texts and the exceptions per customer type live in the knowledge base. An agent preparing a quote uses all of them, instead of whatever it happened to find in an old document.
For HR & new colleagues
Onboarding without a hundred questions
New colleagues ask the knowledge base how things work here and get the answer with the source. The knowledge of the colleague retiring next year is already in there.
For operations & projects
Agents that know the ground rules
An agent doing work preparation or file checks needs to know which steps are mandatory and who approves. Those rules live once in the knowledge base and apply to every agent you build after that.

Frequently asked questions about the AI knowledge base
What is an AI knowledge base in one sentence?
An AI knowledge base is your organisation's managed memory, identity, definitions, ground rules, sources and decisions, that every AI assistant and agent uses as context. As a result, Copilot, ChatGPT, Claude and your own agents answer based on your organisation instead of general knowledge.
What's the difference with SharePoint, Google Drive or Confluence?
Those systems store files and pages, but don't know what's in them, what still applies and what's outdated. An AI knowledge base captures what is true and who vouches for it, and makes that knowledge readable for AI. Your existing document management stays in place; the knowledge base sits on top as shared context.
What's the difference with an AI knowledge system or RAG?
An AI knowledge system with RAG answers questions from your documents, with source references. That is one building block of the knowledge base, namely the 'sources' layer. The knowledge base adds the things that aren't on paper: definitions, ground rules, decisions and your company's context. RAG answers what has been written; the knowledge base also captures what lives in heads.
Do we have to write everything down then?
No. We start with the ten topics asked about most or that go wrong most often. That is usually a few days' work with the right people at the table. After that the knowledge base grows per topic, when it's needed. A complete knowledge base doesn't exist; a correct one does.
Which AI tools does the knowledge base work with?
All the common ones: Microsoft Copilot, ChatGPT, Claude, Gemini and agents we build for you. The knowledge base stands apart from the tool, so every assistant uses the same context and you can switch without losing your company brain.
Does our knowledge stay within the organisation?
Yes. The knowledge base runs in your own environment, with the same access rights as your source systems, and without your data being used to train third-party models. For sensitive topics, part of it can stay entirely within your own walls. Read more at AI in your own environment and Private AI.
How do we keep the knowledge base up to date?
Through three agreements: every topic has an owner, every topic has a date on which it was last confirmed, and AI may propose additions but a person approves. We set up that process with you and hand it over, so management sits with your own team.
How does the knowledge base fit into an AI Operating System?
The knowledge base is the first building block of an AI Operating System: the context that connections, models and agents build on. You can start with just the knowledge base and add agents and workflows later. Many organisations start here, because it's the fastest way to make existing tools like Copilot work better immediately.
What does an AI knowledge base cost?
That depends on the number of topics, the number of sources we connect and whether you want to host in your own environment. We always work from a concrete bottleneck, for example the questions a department gets again every week, so the investment can be tied to a result. Book a call and we'll sketch a realistic first step.
