Gemini is Google's AI assistant, included since 2025 in the Business and Enterprise plans of Google Workspace. It works directly in Gmail, Docs, Sheets, Meet and Drive: drafting emails, summarising documents, analysing data and taking meeting notes. Workspace data is not used to train Google's models; management runs through the Workspace admin console.

Why Gemini is often the logical starting point

Does your organisation run on Google Workspace? Then you already have a full AI assistant in house with Gemini — no extra tool decision, no new vendor contract and no separate accounts. For many organisations that makes it the logical place to start with AI: in the emails, documents and spreadsheets where the work already happens.

Is Gemini included in our Google Workspace subscription?

Yes. Since 2025, Gemini has been included as standard in the Business and Enterprise editions of Google Workspace, without a separate add-on. Check in the admin console which edition your organisation has: the available Gemini features vary per edition.

Is our company data safe? Is it used to train models?

No. Google does not use your Workspace data — emails, documents and prompts — to train its models. Your data stays within the existing Workspace agreements on security and privacy, and through the admin console you decide which teams use Gemini and which features are switched on.

What is the difference between Gemini and Gemini Enterprise?

Gemini in Workspace is the assistant in Gmail, Docs, Sheets and Meet — the logical starting point for most teams. Do employees need training to work with Gemini?

Yes, for two reasons. Practically: without training, usage gets stuck at occasionally rewriting an email, while the real time savings are in summaries, analyses and Gems. And formally: since February 2025, the EU AI Act requires organisations to ensure AI literacy among employees who work with AI.
